This Privacy Policy explains how EasyWebDesign collects, uses, and protects your personal data when you use our website and services.

1. Data we collect

When you book a call, answer our pre-call questionnaire, accept a proposal, sign a contract, pay, or complete our onboarding form, we may collect your name, email address, phone number, business details, your answers, project brief, and any images or files you upload. If you have a discovery call with us on Google Meet, we also keep the notes from that meeting (see section 3). Payment card details are handled directly by our payment provider, not by us.

2. How we use it

We use your data to provide the Services, communicate with you, schedule calls, prepare proposals and contracts, process payments, and build and deliver your project.

We keep copies of the transactional emails we send and their delivery, open, and click records so our authorized staff can verify communications and help resolve support issues. These records follow the retention period described below.

3. Service providers

We share data only with the processors needed to run the Services, including:

• Stripe — payment processing.
• Resend — transactional email delivery.
• Google Workspace (Calendar, Meet and Docs) — scheduling calls, video meeting links, calendar invitations and automatic meeting notes, in our business account.
• Cloudflare R2 — storage of files you upload during onboarding.
• OpenAI — used internally to summarize call notes, draft your proposal, and help plan your project from your brief.
• Google Maps Platform — address autocomplete when entering a client address in our client panel.
• Meta (Facebook and Instagram) and Google Ads — measuring our ads.

Our site uses the Meta pixel and the Google Ads tag to learn which ads lead to visits and booked calls. These tools use cookies or similar identifiers and record, for example, the pages you visit and whether you booked a call; we do not send them your name, email or phone number. Meta and Google may use that information under their own privacy policies. You can limit personalized ads inMeta's ad settingsand Google's ad settings, or block third-party cookies in your browser.

When you book a call, we create an event on our business calendar with the appointment time, the Google Meet link, and your email address (and your guest's, if you add one) as an invitee. Google sends you an invitation so you can add the call to your calendar and notifies you if the appointment changes or is cancelled. We store the event ID and Meet link with your booking to manage those changes. This integration does not connect to your Google account or access your calendar.

During our discovery calls, Google Meet may generate automatic meeting notes, which are saved in our Google Workspace account. Our system reads those notes to prepare an internal summary and your proposal; to do so, their content and your pre-call questionnaire answers are sent to OpenAI, which processes them as a service provider. A member of our team reviews the summary and the proposal before anything is sent to you. These notes are for internal use: we do not share them with third parties beyond the providers listed here, and we keep them as described in section 4. If you prefer that no automatic notes are taken during your call, let us know before or at the start of the meeting.

We do not sell your personal data.

4. Retention

We keep your data for as long as needed to provide the Services and to meet legal and accounting obligations, then delete or anonymize it.

5. Your rights

Depending on where you live, you may have the right to access, correct, delete, or export your data, or to object to certain processing. To exercise these rights, contact us.

6. Security

We take reasonable technical and organizational measures to protect your data, but no method of transmission or storage is completely secure.

7. Changes

We may update this Policy from time to time. The "last updated" date above reflects the current version.
